Job Opening: Administrative Assistant to GWUL President




TITLE:                       Administrative Assistant to the President/CEO



REPORTS TO:            President and CEO, Greater Washington Urban League


SALARY:                   RANGE – Up to Mid $30s, based on experience





1)      Handle the schedule of the President/CEO and interface with guests, meeting and greeting politely.


2)      Responsible for handling and routing all incoming phone calls to the office of the President/CEO in professional manner.


3)      Make certain that the President/CEO returns all phone calls and follow up calls in a timely fashion.


4)      Liaise with the Board and Executive Committee as needed by the President/CEO, compiling meeting schedules and meeting reminders as necessary.


5)      Attend Board of Directors, Executive Committee and Program Directors Meetings and compile minutes for each.


6)      Handle and distribute all correspondence and mails to the appropriate office and or staff.


7)      Oversee the filing pattern of the office of the President/CEO making recommendations and improvements when necessary to provide an efficient office environment.


8)      Produce the monthly expense report of the President/CEO.


9)      Check and flag urgent e-mail messages of the President/CEO when she is out of town.


10)  Coordinate travel arrangements for President/CEO


11)  Provide general support to Chief of Staff.


12)  Must provide general oversight and management of the Office of the President/CEO.


13)  Upload Program Reports to National Urban League’s Docwelder System on a monthly basis.


14)  Must be flexible in responding to other duties as assigned.


15)  Manage the Executive Conference Room, booking meetings when requested.


16)  Work in concert with Program Directors and their Assistants to coordinate activities directly related to the President/CEO and when necessary.




1)      Bachelor’s degree or comparable experience plus at least 5 years of progressive administrative and secretarial experience writing, meeting facilitation, and scheduling.


2)      Knowledge of Microsoft Office Suite, Microsoft Outlook, Blackberry.


3)      Knowledge of office equipment, such as fax machine, copy machine, card scan, scanner, and phone systems.


4)      At least 50 WPM typing skills.


5)      Excellent writing, computer and people skills.


6)      Ability to handle multiple tasks simultaneously.


7)      Skills testing required.
